1. Introduction
This manual is published by Isago Architecture CC
(Registration No 2007/090302/23) ("Isago"), a private body as defined in PAIA. PAIA gives
effect to the constitutional right of access to information held by another person that is
required for the exercise or protection of any rights. This manual explains what records
Isago holds and the procedure for requesting access to them, and describes how Isago
processes personal information as required by POPIA.

4. The Information Regulator's Guide (section 10 of PAIA)
The Information Regulator has published a Guide, in all official languages, on how to use
PAIA. It contains the information a person needs to exercise their rights under PAIA and

The following records are automatically available without a formal PAIA request: the
content of this website (including project, services and studio information), marketing and
practice profile materials, and this manual and our
Privacy Policy.
6. Categories of records held by Isago
- Statutory and company records — founding statement / incorporation documents,
registers, resolutions, statutory returns;
- Financial records — annual financial statements, tax and VAT records, asset
registers, banking records, invoices;
- Personnel and employment records — employment contracts, remuneration and
leave records, disciplinary records, statutory employment returns;
- Client and project records — appointment and fee agreements, drawings, plans,
specifications, reports, project correspondence, municipal submission records;
- Operational and commercial records — supplier and consultant agreements,
insurance records, professional registration records;
- Personal information — as described in our
Privacy Policy.
7. Records held in terms of other legislation

8. How to request access to records
- Complete the prescribed request form (Form 02 — Request for Access to Record of
Private Body, available from the Information Regulator's website) and submit it to the
Information Officer at the contact details above;
- Identify the record requested, the right you seek to exercise or protect, and why the
record is required for that right;
- Pay the prescribed request fee of R140 (per Annexure B of the 2021 PAIA
Regulations). No request fee is payable by a person requesting their own personal
information ("personal requester"). Access and reproduction fees per Annexure B may
apply, and a deposit may be requested for large requests;
- Isago will decide on the request within 30 days of receipt, which period may be
extended once by up to 30 days where permitted by PAIA;
- Access may be refused on the grounds set out in Chapter 4 of Part 3 of PAIA — for
example, protection of third-party privacy, confidential commercial information, or
legally privileged records. Reasons will be given for any refusal.
If a request is refused, the requester may lodge a complaint with the Information
Regulator (PAIAComplaints@inforegulator.org.za,
or via the eServices portal at
eservices.inforegulator.org.za)
within 180 days, or apply to a court.
9. Processing of personal information (POPIA)
As required by regulation, this manual records that Isago processes personal information
as follows:
- Purposes: responding to enquiries; providing architectural, consulting and
project management services; and administration, accounting and legal compliance;
- Categories of data subjects: clients and prospective clients, employees and
candidates, suppliers, consultants and website users; categories of information:
names, contact details, project information, employment and financial information
reasonably required for the purposes above;
- Recipients: service providers (operators) such as hosting, form-processing and
email providers; professional advisers and project consultants; regulators and
authorities where required by law;
- Cross-border transfers: limited processing by service providers with servers
outside South Africa, subject to section 72 of POPIA;
- Security measures: appropriate, reasonable technical and organisational
safeguards, including access control, confidentiality obligations and secure storage.

10. Availability of this manual
This manual is available on this website, at our Johannesburg and Mafikeng offices during
office hours, and on request from the Information Officer. It will be updated whenever there
are material changes.
